Providing administrative and secretarial support to the President and Chief Operating Officer  of J. B. Poindexter & Co. Responsibilities include: extensive calendaring, reviewing all incoming e-mails, appointment scheduling, coordinating meetings on premises and off-site, making extensive travel arrangements (on-line) Stateside, as well as in Canada.  Screening of phone calls, opening all incoming mail, preparing correspondence, composing memos and agendas.  Setting up a filing system, maintaining records and files.  Periodically assist the Chairman of the Board when his Executive Assistant is out of the office.  Running personal errands for the President and his wife.

(August 2004 – August 2005)

Position: Personal Assistant

 

Provided assistance to a prominent elderly lady.  Responsibilities include: composing and typing routine correspondence, organizing and maintaining a file system, opening and sorting all incoming mail, preparing outgoing mail and correspondence, screening of phone calls, purchasing office supplies, and household items.  Planning and coordinating special events, running personal errands for Mrs. Milby, as well as personal shopping.  Maintaining personal accounts including accounts payable and receivable, reconciling bank account, and payroll taxes. Supervising domestic staff, caterers and various contractors.  Attended a two-month course at “Man’s Best Friend”, dog obedience training, with owner’s Shar-Pei. This position requires strong interpersonal skills, and multi-tasking skills under strict deadlines.

 

JANE D. OWEN (Individual)

(May 2003 – April 2004)

Position: Personal Assistant

 

Provided assistance to a prominent lady with extensive and diverse business, personal and social interests, in Houston, and in the Northeast.  Responsibilities included: opening and distributing all incoming and outgoing correspondence, screening of phone calls, setting up filing system, maintaining records and files, coordinating travel activities. Periodically would travel with Ms. Owen and provided assistance at her various properties.  Maintained personal accounts for several households, which included accounts payable and receivable.  Purchased supplies for the household and personal offices.  Direct supervision of domestic staff, caterers, and contractors.  Worked with the Building Contractor to oversee the complete build-out of a 3,000 square foot office for personal needs and Ms. Owen’s   environmental charitable organization.  Tasks included researching and obtaining a telephone system, DSL, purchase of office furniture and setting-up the entire office space (This project was started in August ’03 and completed April ’04).

PATE PLANNERS

(1995 – 1997)

Position: Self-Employed / Conference Coordinator

 

A company specializing in National and International meetings and special event planning.

 

Planned and organized meetings and special events  which included: Corporate Seminars, Luncheons, Dinners, Fund Raising Events for Charities,  Social Organizations, and Ethnic Festivals.  Attendance ranged from 10 – 3000+

Organized a reunion overseas for an alumni group – 200+ attendees from throughout the United States and Europe.

Organized and managed the 1998 Kaiserslautern American High School “Super Reunion” which today, still remains the largest gathering  of former students from any Department of Defense overseas school systems.  More than 1,300 alumni participated  in this event.

Organized two three-day events, which featured two Austrian/Bavarian bands, Soccer Team from Bavaria, authentic German foods, arts & crafts. Attracted more than 3,000 people.  Event proceeds helped support the Texas Special Olympics and The Kick Drugs Out-of-America Campaign.
